Pool Board Minutes
MINUTES of MEETING March 5, 2012
Present:Rob Noecker, Kathy Augustine, Sybilla Whearty, Bob Griendling, Bill Harvey, Joan Bishop, and Fred Burgess. Joan Bishop proposed that the International Night be separated from the Square Dance night. The International Night is scheduled for June 2 and the Square Dance for June 16 (later changed to June 23). Both events will be alcohol free. Fred reported that he was making progress on arranging for the transfer of the ownership of the pool from the old Brandywine Swim and Racquet Club to the new Brandywine Swim Club. Through Penny Welke, he contacted a Title Company owner and lawyer who will assist us in arranging for the transfer. A number of Board members from the former corporation have been located and will assist in effecting the transfer; additional members have to be confirmed and located. The board approved an expenditure of up to $1,000 for legal expenses to accomplish the transfer. Kathy Augustine reported that the door on the trash bin needed repair. The Annual meeting was scheduled for 7:30 on April 24, 2012 at the Kings Park Library. The Spring Cleanup was scheduled for April 28, 2012. Kathy also noted that the Olde Forge and Surrey Square Neighborhood cleanup was scheduled for May 5, 2012. Bill reported that he had taken a new job, which might require traveling, and, therefore, preclude him from staying on the board. He will know in several weeks. His wife, Debbie, is willing to run the Snack Shack again this year. On grass mowing, the Board agreed that the guards will be told to move the furniture off the grass on Wednesday evenings so that the grass can be mowed early on Thursday mornings – starting at 7 AM and finishing by 8 AM. Fred agreed to arrange with David Michaelangelo. Kathy noted that a number of tables needed to be replaced. Tables and any new furniture would be put in the budget. Bill and Fred agreed to meet at 8 AM March 6, to prepare a list of tasks for cleanup day. Julie reported that all coaches were coming back except last year’s “deck coach”(Joey Bouchard). Brandywine has moved up 2 more divisions – to Division 8 – for 2012. Julie and Kathy met previously and agreed upon a budget; included was $700 for equipment. Computer software from 2011 can be used. Julie advised that during a NVSL inspection (every 4 years), it was noted that poles supporting the backstroke flags had to be raised 1 foot. She noted new poles could cost almost $1,000. Bill will check to find a more economical way to fix them. Julie mentioned that timing boards would be a fine addition for meets. Julie noted that the concession stand has been an excellent money-maker for the swim team. Some proceeds from the stand sales may be set aside to build a fund for timing boards. Fred reported that the fence repair left a belly in the chain. Accokeek Fence agreed to return to take a link out to tighten the fence and replace the missing upper supporting pipe cap (at no charge). Bill noted that he would contact the electrician about a circuit for lighting for the flagpole. The meeting adjourned at 9:20 PM. Fred Burgess, Secretary MINUTES
February 6, 2012
PRESENT: Rob Noecker, Bob Griendling, Sybilla Whearty, Joan Bishop, Julie Little, Kathy Augustine DUES: Kathy will send an email within a week to pool members alerting them to the dues increase and the reduction for paying by May 1. This information will also be on the bills to be mailed in March, and on a subsequent email closer to May 1. ANNUAL MEETING: A reservation was made with the King’s Park Library to hold the Annual Meeting in their meeting room on April 24 at 7:30. Rob will check with Cook’s office to see if we can get an earlier date in his meeting room. (Addendum: Rob was able to get Cook’s room for Tuesday, April 17, but Kathy will still be doing taxes then, so the April 24 date will stand.) ADA: Sybilla will check with Ryan to see if he has any guidelines on writing a plan for the March 15 compliance date. She will also check to see how long it would take to get a lift installed once it is ordered, whether we can install a sleeve now and get the lift when/if the need arises, and whether we have to run electric to the lift or if it is battery powered. MEETING WITH PREMIER: We reviewed the meeting that was held on January 9 with Ryan Dreher and Matt Goncalves from Premier to go over our concerns and issues. Sybilla, Bob, Peter and Kathy attended the meeting. Ryan is the General Manager; Matt is our new Regional Manager; Ilya Zadaroshni will be the Supervisor; Manny (Manual) Sandoval will be the Pool Manager (aka Head Guard); Royce Walters will be the Assistant Manager. The Supervisor is expected to inspect the pool three times per week (it was suggested that Premier try to “sneak in” on some of those inspections because the guards have seen them coming and changed their behavior!). We voiced our concerns over guards not manning the desk and checking in members; not working when they are out of the chair; not keeping the bathrooms and grounds clean; not alerting us to closures; and not scrubbing the pool tiles often enough. We discussed the problems last year related to the earthquake, hurricane, and reserved party. We noted that the guards do not seem to be familiar with our procedures and rules (many of which are Fairfax County’s regulations), even though they have printed copies at the desk and were told about them. We learned that the guards have no official “off clock” time, so they should not just be sitting around. Premier suggested that we post laminated signs at the rest room exits to remind members to stop at the desk to sign in. They suggested that we add a link on our website to their “feedback” email address so members can send them individual comments. We agreed on a need to have a meeting with the guards before opening to go over our expectations. We asked to be provided with a copy of their checklist so that we can post a notice for members to see what the guards are supposed to be doing. There was no pushback from Premier on any of our issues, and they promised to work through all them with us. FCPA MEETING: the County’s Dept. of Public Works & Env. Services (DPWES) will be having a community meeting at Laurel Ridge Elementary School on March 21 at 7:00 PM to present plans for the demolition of the Kings West Swim Club and its transfer to the Park Authority. This is the second pool in Braddock District that has failed and subsequently turned over to the Park Authority, but this one presented many challenges and took several years to accomplish. Community associations and pools are encouraged to attend this meeting to learn about the circumstances and processes that led to the Park Authority assuming these properties, to see how they may apply to them in the future. We briefly discussed sending a representative to the meeting, but will decide at our next meeting. SOCIAL: Joan reminded us of the International Night event with the Civic Association. This will be our kick-off event on June2. Kathy will get it on the calendar soon. FRED’S EMAIL: Fred sent an email after the meeting to update us on a couple of issues. He had noticed some problems with the fence repair, notably a bulge in the fence and a missing cap, and called the fence company to get them to fix the issues (they did). Fred made additional calls to previous Board members regarding the Board that was in place in 1984, but has not gained much new information from their memories. NEXT MEETING: Monday, March 5.
